Your passport renewal status says "Not Available" and you applied three weeks ago. Or it says "In Process" and your trip is in 6 weeks. Neither of these tells you anything useful.

Here is what each status actually means, what the timeline looks like between them, and the specific actions to take if something goes wrong.

A passport renewal moves through these stages. Not all statuses appear for every applicant, but this is the typical sequence:

"Not Available" โ€” Why This Is Almost Always Normal

This is the status that generates the most anxiety on r/PassportAdvice, and in the vast majority of cases it is completely normal.

"Not Available" means the system has no record of your application yet. This is expected for up to 2 weeks after you mail your renewal, because:

  1. Your envelope goes to a mail sorting facility first โ€” your USPS tracking shows "Delivered" here, but the State Department has not received it
  2. From the sorting facility, it's physically transported to an intake facility where your payment is processed and your details are entered
  3. Only then is it transferred to a passport agency for review โ€” and only at this point does a status appear online

If it has been under 14 days since you mailed your application and your USPS tracking shows it was delivered, "Not Available" is normal. Check your USPS tracking first โ€” if it shows delivered, your application is in the system queue, not lost.

"Not Available" that requires action:

  • It has been more than 2 weeks since mailing AND your USPS tracking shows delivery
  • Your payment check has not been cashed after 2 weeks (check your bank account)

"In Process" โ€” The Waiting Stage

"In Process" means the State Department has your application and a passport specialist is reviewing it. This is the longest stage in the renewal timeline.

Processing times vary by season. Demand peaks from late winter through summer โ€” applications submitted October through December typically move faster.

If you receive a letter or email requesting more information: Respond immediately. Any delay on your end extends processing. The State Department sends these digitally if you provided an email address.

If "In Process" has lasted longer than the posted processing time: Call NPIC. They can confirm whether your application is simply in a longer queue or if there's an issue requiring attention.

"Approved" โ€” Almost Done, Not Done Yet

"Approved" means your application has been reviewed and cleared. Your passport is either being printed or queued for printing. This status does not mean it has been mailed.

Most passports move from "Approved" to "Shipped" within 1โ€“5 business days. During peak seasons or high-volume periods, this can extend to 7โ€“10 days.

Do not call NPIC just because the status moved to "Approved" โ€” unless it has been more than 10 business days without a "Shipped" update.

"Shipped" โ€” Tracking and Delivery

"Shipped" means your passport has been mailed and a tracking number is available. You can retrieve the tracking number through the same passport status portal.

Standard delivery (First Class Mail): 7โ€“14 days Priority delivery ($22.05 upgrade): 1โ€“3 days

Your passport and any supporting documents (old passport, birth certificate, etc.) may arrive separately. Allow up to 4 weeks after the "Shipped" date before contacting NPIC about non-delivery.

If it has been more than 2 weeks since "Shipped" and nothing arrived: Call NPIC at 1-877-487-2778. You may need to complete Form DS-86 โ€” a signed statement of non-receipt. This form must be completed within 120 days of the passport issue date. After 120 days, you must reapply and pay all fees again.

How to Check Your Passport Status

Three ways, in order of speed:

1. Online: passportstatus.state.gov โ€” requires last name, date of birth, and last four digits of SSN

3. Email: NPIC@state.gov โ€” slowest option; do not use for urgent situations or status checks. Use only for appointment cancellations.

If your trip is within 14 days and your passport has not arrived, call NPIC immediately. You may qualify for an in-person appointment at a regional passport agency.
